Write, organize and publish the documents Dexbi answers from.

Dexbi answers only from your documents. A document is a title and a body of text, with optional images. You can write one, import a file, or import pages from a website. They all live in Content.

The Content page

At the top, Add content has three ways in:

  • New document: write one from scratch.
  • Import document: upload a PDF, Word, Markdown or text file. See Import files.
  • Website sync: import pages from a public site. See Website sync.

Below that, Content sources lists your folders:

  • Documents is always there. Everything you write or upload goes here. It can't be renamed or deleted.
  • Each synced website gets its own folder, with the site's icon.

Open a folder to see what's inside. The header has New folder and New content for adding things right there, and Jobs to see imports that are still running.

Statuses

Write a document

  1. Click New document (or New content inside a folder).
  2. Type a title, then the body. The toolbar at the bottom has headings, lists, quotes, code blocks, bold, italic, links and images.
  3. Click Save. The document is Live right away.

If you close a new document without saving, it's kept as a Draft so you don't lose it.

To change an existing document, open it and click Edit. If you try to leave with unsaved changes, Dexbi asks whether to save them.

Tips for documents that answer well

  • One topic per document. "Refund policy" and "Shipping times" should be two documents, not one.
  • Use the words your members use. If they say "unban", write "unban", not only "appeal".
  • Put the answer first, then the details.
  • Keep document titles clear. The title helps Dexbi find the right document.

Images in documents

Click the image button, paste an image or drag one into the text. Images can be PNG, JPEG, GIF or WebP, up to 5 MB each.

Dexbi can show these images in its replies in Discord when they help, like a screenshot of a settings screen. You control that with Show images from the docs in Deploy.

Understand images (Basic and up)

By default Dexbi reads the text of a document, not the pictures. Turn on Understand images and it also reads the text inside each image and describes it, so members can ask about diagrams, charts and screenshots.

Turn it on per document in Details, or for a whole upload in the Import document window. Each plan has a monthly number of images it can read this way. See Plan limits.

Screenshots that members send in Discord are read on every plan. That's separate.

The Details panel

Open a document and the Details panel sits on the right. Changes here save straight away.

Data: the type, document ID, created and updated times, and for website pages a link to the original page.

Publishing:

  • Status: Live or Draft.
  • Priority: Pinned makes Dexbi always consider this document and prefer it over others when it's relevant. Use it for the few documents that must win, like your current refund policy.
  • Understand images: see above.
  • Audience: Everyone, or only certain audiences. A document for "Premium" members is only used when a Premium member asks.
  • Channels: All channels, or only certain ones.
  • Folder: move it to another folder.

Agent access: switch Ticket agent and Public agent on or off. For example, keep internal refund steps for tickets only.

Folders

Inside Documents, click New folder. Give it a name and pick a color. Folders can go two levels deep. Website folders are managed by the sync, so you can't add folders or documents inside them.

Search and filter

The search box above the list searches every document in the workspace, including website pages, once you type 2 letters. The audience filter next to it shows only documents for one audience.

Delete

Use Delete on a row in the list, or the trash icon inside an open document. Deleting a folder deletes everything in it.

Limits

Each plan has a limit on documents and storage. If you downgrade and end up over the limit, nothing is deleted: your oldest documents keep answering and the newest are paused. See Plan limits.
